SPP takes seriously the collection, management, security and oversight of personal information. This Privacy Policy describes how we collect, manage, and use Personal Information (PI).

How we collect PI

SPP collects a range of PI as part of our normal course of business. Sources of PI may include:

  • Market research surveys, focus groups, and interviews undertaken during the practice of conducting market research
  • Job applications
  • Business contacts
  • Other sources which may include website statistics, project-related data and/or statistics, or unsolicited information sent to us

Why we collect personal information

We collect PI in order to:

  • Conduct market research
  • Improve the service to our existing and potential clients
  • Recruit staff and contractors
  • Market and manage events we run
  • Respond to queries and requests received by email or via our website

How we manage PI

Most PI is held on SPP’s secure server. Access to the server is restricted by password to SPP employees. Occasionally, SPP engages contractors and an external IT provider in the normal course of business. In some cases, access to PI will be provided to these parties. If we make paper copies we dispose of them using a secure record disposal contractor.

PI relating to market research surveys is held by our survey management suppliers. We have confidentiality agreements with these companies. When collecting data for market research we provide respondents an option, where practicable, to remain anonymous or to use a pseudonym.

When we receive PI from our clients we demand confirmation that people on the list have opted-in to be contacted for market research purposes.

With one exception, we de-identify market research data, reports, and presentations by:

  • Deleting intermediary survey datasets that might contain means to identify individuals
  • Removing fields with PI from the final datasets that we retain
  • Not identifying individuals in reports or presentations
  • Deleting client supplied lists on completion of a project

The exception noted is that we may retain PI in datasets, reports, or presentation when a respondent has given us permission in writing to be identified. This permission includes the allowed purpose and time period.

We do not disclose, share or sell PI other than in market research data, reports, or presentations where we have permission from the respondent, as noted above.

Invitations we send to complete surveys, and emails to business contacts, include an ‘Unsubscribe’ options which we action if requested.

We do not collect PI from casual visitors to our website. We do, however, use log files to log visitors. The information inside the log files includes IP addresses, browser type, Internet Service Provider (ISP), date/time stamp, referring/exit pages, and possibly the number of clicks. This information is used to analyse trends, administer the site and track users’ movements around the site. We also use cookies to store information about visitors’ preferences, to record user-specific information on which pages the site visitor accesses or visits, and to personalize or customize our web page content based upon visitors’ browser type or other information that the visitor sends via their browser. Information in the log files and cookies are not personally identifiable.

Changes to our Privacy Policy

Our Privacy Policy complies with the Privacy Act 1988 (Cth) as amended in March 2014. We may amend this Privacy Policy to reflect changes legislation or our business. If we amend the policy we will post the change on our website.
